1. REGISTERING CONDITIONS

1.1 A contract shall be deemed to have been made between ASTRA NOVA (“ASTRA NOVA Ltd.”) and the registering client (“the Client”) when the client has confirmed requirements by, inter alia, facsimile, letter, email, written order form, telephone or online registration and ASTRA NOVA have accepted such a booking by confirmation email.
Submitting a completed and signed Registration/Booking form or submitting the online Registration/Booking form will be deemed as an acceptance of the terms and conditions stated below.

 

  1. The information on the Delegate Registration/Booking Form may be released to those of Our employees, officers, representatives or sub-contractors who reasonably require the same to ensure that all Client’s requirements are met. Booking details are kept on file for 18 months after the Astra Nova event.  If the Client has provided consent at the time of Booking, the Client’s name and organization will be included on the Delegate list at the Astra Nova Event

2. CANCELLATION POLICY

2.1 Notice of the request to cancel must be received in writing:

 

  • Over 14 days prior to seminar: 75 EUR cancellation charge is payable.
  • 7 to 14 days prior to seminar: 50% of the fee plus VAT (where applicable) is due.
  • Less than 7 days or if no notification is received: the total fee plus VAT is due.

N.B. Cancellations must be received in writing via email to Vicky Norman on vicky@astranovatraining.co.uk . The Client shall receive an email confirming the cancellation and this will constitute THE ONLY acceptable proof of cancellation. Anyone not able to produce such a document will be liable for the full registration fee.

2.2 Cancellation or re-scheduling of Astra Nova Events:

Where an Astra Nova Event is cancelled or re-scheduled by ASTRA NOVA, we will use Our reasonable endeavours to notify the Client using the details provided to ASTRA NOVA by the Client at the time of booking. It is Client’s responsibility to inform ASTRA NOVA of any change to the contact address, telephone number or e-mail address that the Client provides ASTRA NOVA  with at the time of booking. We and the Venue reserve the right to reschedule any Astra Nova Event without notice and without any liability whatsoever.
ASTRA NOVA reserves the right to postpone or cancel an Event without liability at any time for any reason whether or not due to causes beyond its reasonable control. Where an Event is postponed, Client’s registration will be valid for the postponed Event.

3. SUBSTITUTIONS

3.1 Delegates may be substituted at any time at no additional cost. Please contact our registration department      (+44 (0) 208 123 3324) with name and job title – or email vicky@astranovatraining.co.uk

 

4. GROUP DISCOUNTS

4.1 The discount structure, which ASTRA NOVA offers its customers is, as follows:

 

  • 1 to 5 delegates –  18% discount from conference fee for each delegate
  • 5 to 10 delegates –  25% discount from the conference fee for each delegate
  • 10 + delegates –   30% discount from the conference fee for each delegate

Please note that only one discount can be applied per person per event.

5.  SPECIAL DISCOUNTS

5.1 Discounts are available for personnel from NON-PROFIT ORGANISATIONS / REGISTERED CHARITIES / RESEARCH FOUNDATIONS / STUDENTS FROM SPANISH UNIVERSITIES. For more information please apply to info@astranovatraining.co.ukPlease note that only one discount can be applied per person per event.

6. ALTERATIONS

6.1   ASTRA NOVA reserves the right to alter the programme, the speakers, the date or the venue in the event of circumstances beyond its control.In case of such event, we will use Our reasonable endeavours to notify the Client using the details provided at the time of booking.

7. PAYMENTS

7.1 Invoice Payments

After Registration/Booking and payment details are submitted, they are reviewed by ASTRA NOVA staff and the Client’s Registration/Booking is confirmed within 2 business days by email. With this email the Client shall receive conference invoice. Payment must be received at latest before the conference date (see date and time limit of the invoice). All prices are subject to VAT (value added tax), where applicable.

Bookings received less than two weeks prior to the start of the conference should be paid by credit card online or cash at the conference desk, unless bank transfer can be secured in due time.

7.2  Credit Card Payments:

Upon submission of the Client’s registration/booking and payment details to ASTRA NOVA, We will keep those details securely on file until payment transaction is completed. Online payments will be processed and Client’s credit card will be billed 1 (one) month or less before the ASTRA NOVA event takes place, as previously announced. The Client will be notified by email once the transaction has been completed and this is when the payment will be reflected on Client’s credit card statement.
ASTRA NOVA will accept credit card payments by VISA, MASTERCARD, AMEX, DEBIT CARDS (please note that you will be asked for the expiry date and 3-digit security code – this is not required for AMEX cards).

7.3 ASTRA NOVA will accept payment by bank transfer. Client should ensure that bank transfer is made accurately and in time and payment is received by ASTRA NOVA before the conference date. Bank transfers should be made to:

7.4   Once Client’s registration is completed and seat booked, ASTRA NOVA will confirm that by sending  confirmation email. Provided that the event is not fully booked, ASTRA NOVA would accept  registrations right up to the day before, only online payments will be accepted, as stated in article 7.1 .

7.5 If payment is not received PRIOR TO THE EVENT, delegates will be asked to pay cash at the registration desk to access the conference.

7.6 Other payment methods such as cheques and bills of exchange are not accepted.

8. VAT

ASTRA NOVA will charge VAT where applicable. VAT will be charged at the rate applicable at the time. If VAT has been added to the amount paid, the Client may use the  following legal forms :

  • Use form VAT 65 to reclaim VAT paid in an EU state if you are registered for VAT in another EU state. This form can be completed on screen and printed out.
  • Use form VAT 65A to reclaim VAT paid in an EU state if you are a business that is notregistered in any EU state. This form can be completed on screen and printed out.

9. PERSONAL INFORMATION

9.1  In supplying ASTRA NOVA with Client’s personal information, either in written form or by using the online Registration/Booking form, the Client agrees that ASTRA NOVA may transfer this information (to the extent that it is still held on our database at the relevant time) to a third party whoacquires all or substantially all ofASTRA NOVA‘s assets or stock or our website services whether by merger, acquisition, reorganization or otherwise. ASTRA NOVA will not otherwise disclose Client’s personal information to any third parties.

9.3  ASTRA NOVA is committed to data security. If the Client registers online for any of the services we offer (and, accordingly, enter payment details), ASTRA NOVA offers the use of a secure server. The secure server software encrypts all information which Client inputs before it is sent to ASTRA NOVA. ASTRA NOVA takes steps to guard against unauthorized access of the personal information of its website users. Although it makes every effort to create a secure environment for Client’s personal information, ASTRA NOVA cannot guarantee the safety of any personal information which is transmitted to us on-line.

9.4  If the Client contact us through the ASTRA NOVA website, Client’s personal information (including name, job title, company’s name, telephone and email address) is collected by ASTRA NOVA.

All of the personal information described above will be stored on ASTRA NOVA’s user database (unless the Client notifies ASTRA NOVA that Client no longer wishes ASTRA NOVA to retain such information, in which case it will be deleted).

ASTRA NOVA will use Client’s personal information, in order to contact the Client (for example by email, mail or telephone) for those purposes, to which Client has previously consented on the website. ASTRA NOVA will also use the information, which the Client provides in aggregate form (i.e. so that no individual users are identifiable) to determine demographic profiles and browsing patterns in order to:

  1. develop marketing profiles and assist strategic development;
  2. manage ASTRA NOVA.’s relationship with its sponsors and advertisers;
  3. enable site audits to be performed; and
  4. enable ASTRA NOVA. to review, develop and improve the services which it offers.

ASTRA NOVA reserves the right to change the following terms from time to time and the Client agrees to abide by the most recent version of these terms each time you view and use the ASTRA NOVA website.

Your submission of a booking form amounts to an offer. We are deemed to have accepted the offer in case we have not declined your booking within one week after we have received your submission.

10. WEBINARS

After your booking has been confirmed by us, we will send you an invitation e-mail containing the access details for the event no later than 2 days before the webinar takes place. We will also provide learning materials where and if applicable no later than one hour before the webinar takes place.

All reasonable effort will be made to ensure the webinars take place on the advertised date and time. In the event that the webinar does not take place, we will announce an alternative date/time. We also reserve the right to substitute speakers in case the originally appointed ones are prevented from participating by events beyond their and our reasonable control.

We employ commercial technology, which is compatible with most Internet browsers, in order to deliver streamed video access to the seminars we organize. If you cannot view the seminars due to hardware or software issues on your side, we are not liable and are not obliged to waive the seminar fees. In case that the webinar was cancelled, Astra Nova Ltd will refund the Client with the amount paid for the event.  The Webinar service provider that we use (WebEx) offers a free demonstration of their service, and it is your responsibility to check that our technology works on your systems.

We provide the option of accessing a streamed recording of the webinar after the latter has taken place. It becomes available and we will send you access link within one week of the webinar taking place, and will remain available for at least three months.

Payment

Payment for any booking made is due within two days before the webinar takes place

Cancellation

Delegates with individual webinar bookings may cancel their booking. They must do so in writing or by Email no later than 2 days before the webinar date, in which case a full refund of the fee less a bank transfer (payment processing) charge will be offered. Late registrants, who have made their booking within the last 48 hours before the start of the webinar, may also cancel their booking but, in doing so, have to choose between:

– a refund of 40% of the fee less a bank transfer (payment processing) charge

– rescheduling of their booking for the next available webinar organised by Astra Nova Ltd. (any price difference is to be compensated by the delegate prior to the attended webinar)

For delegates do not comply with the conditions above, Astra Nova Ltd. is entitled to rejecting any refund requests.

Astra Nova Ltd. reserves the right to cancel the event prior to the event start date due to market conditions, acts of God, or other circumstances beyond our control. In the event that Astra Nova Ltd.  cancels an event for any reason, you will receive a choice of refund or credit for 100% of the contracted paid registration fee. If Astra Nova Ltd. is forced to cancel a program while in progress you will receive a choice of refund or credit for 50% of the contracted paid registration fee. We will notify all registered attendees as soon as a conference has been canceled via e-mail and/or phone messaging and a notice will be posted on our website.

Distribution of Access Links and Material

The fee paid covers access to the webinar (or to the streamed recording for limited period of time), as well as any additional study materials, which are to be used in the webinar.

You consent to us monitoring the number of computers which access the webinar (or the streamed recording) and their IP address in order to ensure that the access URL has not been distributed beyond those authorised to view the webinar under this agreement.

Exclusion / Limitation of liability

We are not liable for any events/phenomena outside of our reasonable control, which result in change of the original speaker or postponing the webinar

Neither we, nor our speakers, are liable for any errors or omissions in the content of their presentations.

Without prejudice to clauses 13 and 14, our liability is limited to the return of any fees paid by you to us for access to the webinar in the event that:

  • we fail to use reasonable care in the selection of our speakers
  • we are found to be liable in respect of the content, or any omission therein, of any presentation
  • the webinar does not take place at all.
